Getting started

What is ChamberHive?

ChamberHive is a CRM and membership management platform built for U.S. chambers of commerce. It handles your member records, dues billing, events, communications, and public directory in one system. It is not a generic association tool with a chamber skin on it. Everything in it exists because a chamber asked for it.

Who is it built for?

ChamberHive is built for local and regional chambers of commerce running with a staff of one to fifteen. If you manage dues renewals, an events calendar, a member directory, and a board that wants numbers, you are who we built this for.

Can I see the product without talking to sales?

Yes. There is an instant demo on this site with real data loaded, including Member Health and Grow. No form, no calendar link, no waiting. If you want to walk through it with someone afterward, we are happy to, but you should not have to book a meeting to find out what software looks like.

How do we know if we are a fit?

The clearest signal is whether your current system is costing you time you cannot get back. Chambers switch to us because renewals take three weeks instead of three days, because their directory looks dated, or because they cannot get a straight answer on who is about to drop. If none of that sounds like you, you probably do not need to change anything.

How long until we are live?

Your data migration is typically complete within 48 hours, including your team's review. Our automated importers usually pull and load the data in about 30 minutes, and we spend the remaining time double- and triple-checking the result with you. If we are also building your website, design and content iterations follow a separate timeline and can take longer.

Do we need technical staff to run this?

No. If your team can use email and a spreadsheet, they can run ChamberHive. We handle the setup, data import, and configuration. There is nothing to install or maintain on your end.

Switching from another system

We are on GrowthZone. Can you migrate our data?

Yes. GrowthZone and ChamberMaster migrations are the most common ones we do, so the process is well worn. We handle the export mapping, import, and reconciliation. You do not need to build a spreadsheet for us.

ChamberMaster is being sunset into GrowthZone. What does that mean for us?

It means you are going to be migrated whether you choose to or not. The question is whether you end up on a platform you picked. If you are being pushed into a transition anyway, that is the least expensive moment to look at alternatives because you are already paying the switching cost.

Is the 48 hour migration real, or is that a marketing number?

It is real, and it covers the full data migration from when you give us access to your current CRM through your review and approval. Our automated importers usually pull and load the data in about 30 minutes, then we double- and triple-check the result before your team verifies it. The 48-hour timing depends on how quickly your staff can review and confirm what moved. Website design and iteration follow a separate timeline and can take longer.

What data comes over?

Member organizations and their contacts, membership levels and join dates, renewal dates, open invoices and payment history, event history, and directory listings including categories and descriptions. We confirm the exact scope in your current system before the migration starts.

What does not come over?

Stored payment methods generally cannot be transferred between processors, so recurring payers need to re-enter card or bank details once. Anything living in a vendor's proprietary page builder, such as custom website layouts, gets rebuilt rather than moved.

Our renewal is coming up. Do we have to wait for it?

No, and waiting is usually the more expensive choice. Chambers often assume they are locked in until renewal and end up paying for another full year of a system they have already decided to leave. Tell us your renewal date and we will work backward from it so you are live before you would owe anything.

What if we are mid-contract with our current vendor?

We can run the migration and have you live regardless of where you are in your contract. Some chambers overlap for a month to be safe, while others cut over cleanly.

Will our members notice the switch?

They will notice that the directory and payment pages look better. Beyond that, disruption is small if we time it right. Members on autopay may need to re-enter payment details, and we give you a prepared email to explain that step.

Who actually does the migration work?

We do. You give us access to your current CRM, and we handle pulling the data, mapping it, importing it, and walking through the results with you before anything goes live. Our migration team has worked with chambers for years, so you are not explaining chamber math to someone who has never seen a dues invoice.

Our data is a mess. Is that a problem?

It is normal, not a problem. Duplicate records, members with no join date, and invoices that do not tie out are what a decade of system changes looks like. We surface what we find and show you a reconciliation summary before billing is unlocked, so you are not discovering it later.

Can we see our own data in ChamberHive before we commit?

Yes, and it is the best way to evaluate us. We will load your actual member list into a working environment so you are clicking through your own chamber instead of a sample account. Reading a feature list tells you almost nothing. Seeing your own renewal pipeline tells you everything.

Pricing and contracts

How does pricing work?

Published plans are Standard at $299 per month, Complete at $399 per month, and Premier at $699 per month. Each plan bundles the capabilities listed on our pricing page, and core product areas are not sold as a maze of separate modules.

Is there a contract?

No. ChamberHive is month to month, with no required annual lock-in. We would rather earn the renewal every month.

What happens if we decide to leave?

You cancel, export your data, and go. There is no termination fee or phone call where we try to talk you out of it. Your data is yours, and we will hand it over in a standard format.

Membership management

How does ChamberHive handle organizations versus individual contacts?

Member organizations are the primary record, and each one holds as many contacts as you need with their own roles, titles, and email preferences. When the primary contact leaves a member business, you update the contact without touching the membership. Individual and solo memberships are supported as their own type.

Can we have multiple membership levels or tiers?

Yes, with their own dues amounts, benefits, and directory treatment. You can run flat tiers, employee-count tiers, or a mix. Moving a member between levels handles the billing change in the same workflow.

Do you support anniversary renewals, calendar year, or both?

Both, including chambers running a mix because they inherited one model and are moving to another. Renewal dates live on the member record, so you are not forced into a single chamber-wide cycle.

Can we track prospects and non-members?

Yes. Prospects live in the same system as members with their own pipeline, so recruitment is not a separate spreadsheet that only one person maintains. When a prospect joins, the record converts and its history stays attached.

How do we handle committees, the board, and volunteers?

Contacts can belong to groups, which cover committees, the board, ambassador programs, and anything else you organize people into. Groups are usable as email segments and can be shown or hidden on the public site.

Can members update their own information?

Yes. Members get a portal where they can update contact details, edit their directory listing, pay invoices, and register for events. That is one of the biggest reductions in staff email volume chambers see after switching.

Can we do bulk updates and imports?

Yes. ChamberHive supports CSV imports and bulk actions for recurring staff work, including updating groups of member records without opening them one at a time.

Dues, billing, and payments

How do members pay?

By credit card or eligible ACH bank debit through a payment link on their invoice, through the member portal, or on autopay. Payments post against the invoice automatically, so nobody has to match a bank line to a member name by hand.

Who processes the payments?

Stripe processes payments. Money goes to your chamber's own connected Stripe account and pays out to your bank on its regular schedule. We do not sit between you and your money.

What are the processing fees, and can we pass them to members?

The payment page shows the exact fee before a member pays, and chambers can choose whether to pass supported processing costs through or absorb them. The policy is configurable, so you can use the approach your chamber has approved.

Can we set up autopay for dues?

Yes. Members can opt into automatic renewal payments, which reduces the number of renewal invoices your staff has to chase. You control which membership levels are eligible.

Do we control when invoices actually go out?

Yes, and nothing sends until you say so. Your team controls when invoices and their emails go out.

Do you handle proration and mid-year joins?

Yes. Mid-cycle joins, upgrades, and downgrades can use rules you set instead of requiring a manual invoice edit.

Do you support payment plans or installments?

Yes. Membership billing schedules can split dues into installments, track each due date and invoice, and keep the overall schedule visible to staff and members.

Can we bill for things other than dues?

Yes. Sponsorships, event tickets, advertising, directory upgrades, and one-off invoices can run through the same billing system, so your revenue picture is not split across a payment processor and a spreadsheet.

How do we handle past due members?

Aged receivables are visible by member, and reminder sequences can go out on a schedule you set. A past-due membership invoice with an open balance is also an actionable At risk reason in Member Health.

How do refunds and credits work?

Refunds are issued from the member's payment record and sync back to your accounting workflow. Credits can be applied to invoices without creating a workaround payment.

Accounting and QuickBooks

Do you integrate with QuickBooks?

Yes, with QuickBooks Online. Invoices, payments, and customers sync so your bookkeeper is not rekeying transactions from one system into another.

How does deposit reconciliation work?

When Stripe pays out to your bank, ChamberHive creates a matching QuickBooks deposit with the underlying payments and fees broken out. That closes the gap between one lump number on the bank statement and the individual member payments behind it.

What if we use a different accounting system?

You can export transactions in a standard format for another accounting system. Tell us what you use and we will tell you honestly whether the workflow is clean or clunky.

Can our bookkeeper or treasurer have access?

Yes. An accountant role gives them financial visibility without full administrative access to member records.

Events

Does ChamberHive handle event registration?

Yes. Event pages, ticket types, registration, payment, and attendee management are built in. Registrations tie back to member records, so you can see which members show up and which ones never do.

Can we charge different prices for members and non-members?

Yes, and non-member registration can become a recruitment channel rather than just a higher price. A non-member who registers can be followed up with as a prospect instead of disappearing into an event spreadsheet.

Can we sell sponsorships through the platform?

Yes. Sponsorship levels can be sold alongside tickets with their own inventory limits and benefits, and the revenue flows into the same billing system as everything else.

How does check-in work at the event?

Staff can open the attendee list on a phone, tablet, or computer and mark people checked in as they arrive. Check-in state updates against the same registration record the event team is using.

Can we run recurring events?

Yes. Recurring series work for weekly and monthly programs such as coffee connections, standing luncheons, and regular networking events.

What about cancellations and refunds?

Refunds are issued from the registration's payment record and stay connected to billing and accounting. Staff can see the registration, payment, and refund together.

Website and member directory

Do you build chamber websites?

Yes. Our Complete plan includes website design and dedicated hosting. The site connects directly to member data, so the directory, events calendar, and other enabled modules stay current without duplicate entry.

Can we keep our current website?

Yes. Your directory, events, and other member-facing modules can be linked from your existing site. Plenty of chambers keep their main site and replace only the parts that were being maintained manually.

Is the member directory good for SEO?

Yes. Listings are indexable with proper page structure, real URLs, and category pages rather than being trapped inside a widget that search engines cannot read. That gives members a concrete visibility benefit from their dues.

Can members edit their own directory listing?

Yes, through the member portal. Staff keep control over the directory while members can maintain the details that change most often.

Do you support a job board and member deals?

Yes. Job postings and member deals can be published through the chamber website and managed by eligible members through the portal.

Communications

Is email built in?

Yes. Newsletters, announcements, renewal reminders, and event communications send from ChamberHive using member data for targeting, so you are not exporting a list every time you email a segment.

Will our emails actually land in the inbox?

ChamberHive supports authenticated sending on your chamber's own domain. Proper domain authentication matters because a renewal reminder in a spam folder is a renewal your staff has to chase manually.

Can we segment who receives what?

Yes, using member information such as level, join date, groups, event history, and payment status. The same records you use to run the chamber can define the audience.

Do we still need Mailchimp or Constant Contact?

Most chambers can send their day-to-day member communications from ChamberHive. You may keep a separate email tool if you have a heavily designed newsletter workflow you do not want to rebuild.

Do you support text messaging?

Yes. SMS functionality is included in the Premier plan for chambers that want text messaging alongside email.

Member Health

What is Member Health?

Member Health is an actionable follow-up list for current members. It separates members with specific renewal or billing risks from members whose relationship is healthy, needs watching, or is still building enough history to assess.

How does it work?

It combines two years of event registrations, paid invoices, directory completeness, linked contacts, and recorded member portal actions such as profile updates. ChamberHive does not use event attendance or raw login history. Healthy and Watch summarize the positive signals, Building history keeps limited data from looking like a problem, and At risk is reserved for renewal or billing issues staff can act on.

Do we have to set it up or configure it?

No. It works from data already in ChamberHive. Current members appear right away, and members without enough meaningful activity sit in Building history instead of being mislabeled At risk.

What do we actually do with it?

Use it to reach out to members who need attention before renewal season instead of after they have already decided. Many teams work from it as a monthly list, which turns retention from something you react to into something you manage.

Grow

What is Grow?

Grow helps you find local businesses in your area that are not chamber members and save them as prospects. Recruitment starts with a working list inside the same system where you track member relationships.

How is this different from buying a list?

A purchased list is a static file that is stale the day it arrives and often lives in someone's downloads folder. Grow sits inside your CRM, so a prospect becomes a tracked record with history, and that context carries over when the business joins.

Can we work it as an actual pipeline?

Yes. Prospects move through stages with assigned owners, tasks, and activity history, so recruitment does not depend on one person remembering who they talked to.

Integrations and data

What if you do not integrate with something we use?

Tell us what it is. We evaluate integration requests based on how chambers actually work, and we would rather discuss the requirement during evaluation than have you sign up expecting something that is not available.

Can we export our data whenever we want?

Yes, in standard formats, without asking us. This is not a feature we gate. A vendor who makes leaving difficult is telling you something about how confident they are in the product.

Security, privacy, and data ownership

Who owns our data?

You do. Your member list, financial records, and event history remain yours. We store and process that information to run the platform for you, and that is the extent of our claim to it.

Do you sell or share our member data?

No. Not to advertisers, data brokers, or anyone else for their own marketing. Your member list is the single most valuable asset your chamber has, and it is not a revenue line for us.

Are payments PCI compliant?

Yes. Payments run through Stripe, a PCI Level 1 certified provider. Card numbers do not touch ChamberHive servers and we do not store them, which keeps your chamber away from the highest-risk payment data.

Can we control who on staff sees what?

Yes, through roles. A part-time events coordinator does not need to see financial records, and a board member with directory access does not need to see everything else.

How do we handle member privacy requests and opt-outs?

Contacts have their own communication preferences and opt-out state, and those choices are honored across sending. Staff can see the current preference on the contact record instead of maintaining a separate suppression list.

Support, training, and onboarding

How do we get help?

Email us or schedule a call with the people who build and run the platform. For anything involving reconciliation or data, we would rather get on a call than trade six emails.

Is support included or is it a paid tier?

Support is included. There is no premium support tier, because helping you use the platform should be part of the platform.

Do you train our staff?

Yes, as part of onboarding and again when you need it. Training is live and specific to your chamber's setup rather than a generic video library.

Our staff turns over. What happens when someone new starts?

We train them at no additional cost. Chamber staff turnover is a fact of the industry, and charging for it would mean charging you for something outside your control.

Is there documentation?

Yes. ChamberHive includes in-app help for staff, with answers tied to the product areas they are working in. You can also ask our team when the question is specific to your chamber's setup.
